Youth DramaFest Rules Part I

1. GENERAL

1.1. ENTRY: Entries must be in the hands of the ITA Secretary not later than six (6) clear weeks before the date of the Festival.

1.2. FEE: A non-refundable fee of $50.00 (fifty dollars) - must be submitted with each entry.

1.3. LATE FEE: A late fee of $10.00 will be levied on any form submitted after the required date.

1.4. PROFESSIONALS: No professional actor, director, club, group or organisation may compete in the Festival.
A professional actor is defined as one who has earned more than half their income from acting in theatre in the year preceding the festival.
A professional director is defined as one whose total income is derived from his/her activities in teaching production/direction at a tertiary level or in continuous work in live theatre as a director.

1.5. YOUTH: For the purpose of this festival “youth” is defined as being eighteen (18) years of age or younger at the time of the Festival. There will be two (2) sections, one for actors up to & including thirteen (13) years and one for actors up to & including eighteen years (18) The senior section may have actors under 13 performing if needed.

1.6. DIRECTORS: Directors in the “Youth Festival” may be of any age, but will be considered for a direction award if eighteen years of age or under.

1.7. PROGRAMME DETAILS: must be submitted not later than six (6) weeks prior to the date of the Festival. Such information, including scenic information, will be printed in the programme. Clubs are requested to check their supplied information very carefully and to notify any changes to the Festival Coordinator immediately.

1.8. SCHEDULING OF PLAYS: The schedule of plays entered into the Festival will be arranged by the ITA, giving due consideration to the type of play presented, running time, distance travelled by entrant club etc. to present a balanced programme. All entrant Clubs shall be notified not less than two (2) weeks prior to the Festival (earlier if possible) of the date of their performance. Clubs are requested to notify the Secretary as soon as possible if they wish to avoid certain days/times. i.e. if there is likely to be a clash with their own season.

1.9. COMPLIMENTARY SEATS: Two (2) free theatre seats per entry will be available on the session of performance for each entrant Club. Tickets will be forwarded to the entrant Clubs with details of performance dates. Extra tickets may be purchased as advertised

1.10. ENCORE NIGHT: Entry plays may be requested to take part in an Encore Night on the Sunday evening following the festival. Clubs should advise the Secretary if they cannot perform on that date.

1.11. PUBLICITY: Entrant clubs are required to provide publicity photographs or material of the play no later that their technical rehearsal.

1.12. THE ADJUDICATOR'S DECISION will be final in all aspects. No discussion or correspondence will be entered into.

2. THE PLAYS

2.1. TYPE OF PLAY: The dramatic work offered by the entrant club must be a piece that is intelligible to a member of the audience without prior written/oral explanation be it:
a dramatic work featuring a cast of two (2) or more players
a one act play
a single act/extract from a longer play

2.2. CHOICE OF PLAY: When deciding on the choice of play to be entered, Clubs should give consideration to the size of stage on which they are to perform, and to the limitations of the backstage area, and to the fact that only a basic lighting rig will be available.

2.3. PERFORMANCE RIGHTS: If the play is subject to copyright it is the responsibility of the entrant Club to obtain permission for performance, and to pay the royalty fee in advance. The entrant Club must complete the Indemnity Form provided for each play entered, accepting full responsibility for any non-payment of royalties. This form is to be forwarded together with the entry form.

2.4. ADJUDICATOR'S COPY: Each entrant Club is required, not later than six (6) clear weeks prior to the date of the Festival, to produce a copy of the play submitted in the version in which it will be performed - i.e. including any changes/editing

2.5. CAST SIZE: There will be no upper limit on the number of cast members in any dramatic work entered. The minimum number in a cast shall be two people.

2.6. LENGTH OF PLAY: No entry shall take less than ten (10) minutes or exceed forty-five (45) minutes performance time, including any time taken to change scenes in the course of the production.

3. STAGING

3.1. SETTING THE STAGE: No production shall take more than ten (10) minutes to set and five (5) minutes to strike the set.

3.2. TIME PENALTY: Any entry exceeding the time limit as set in Rules 2.6 and 3.1 shall be subject to a marks penalty by the Festival Adjudicator.

3.3. WHO CAN SET/STRIKE THE SET: Only three (3) people in addition to the cast (one of whom may be the director) shall assist in the setting and striking of the set.

3.4. STAGE FURNITURE: The Festival organisers can provide the following basic furniture if requested at the time of entry. -Medium table; four straight dining chairs; sofa; two easy chairs. The entrant must provide any other furniture required.

3.5. STAGE PRESENTATION: All Entrant Clubs must use the black curtains, tabs and legs provided as the basis for their setting, but they may also bring such additional scenery as is considered essential for the production.

3.6. FESTIVAL STAGE MANAGER: The Festival organisers shall appoint an overall Stage Manager whose decision on all backstage matters shall be final and binding on all entrant Clubs.

3.7. STAGE PLAN: A Stage Plan with details of lighting and other facilities will be supplied to the entrant Clubs. It will be the responsibility of each entrant Club to return a copy of the completed Stage Plan together with their entry form. This must indicate clearly, the positioning of any set or equipment used.

3.8. LIGHTING: It will be the responsibility of each entrant Club to see that the lights are correctly set, through liaison with the Festival's Lighting Technician at the technical rehearsal, and that the curtains shall be opened and closed at the proper time. (Clubs are requested to keep lighting & effects simple, as it is unrealistic to expect the Festival Lighting Technician to master a complicated plot at short notice.)

3.9. SPECIAL EFFECTS: Entrant Clubs must advise on their entry form if they propose to use additional lighting equipment, or if their production requires unusual Special Effects (naked lights; explosive devices, guns etc). If it is found necessary, in the interest of safety or for Insurance purposes, to place limits on the proposal of Entrant Clubs to use such devices, the Entrant Club will be notified in writing.

3.10. FESTIVAL LIGHTING TECHNICIAN: A Lighting Technician appointed by the Festival organisers will be responsible for control of the lighting desk, under the direction of the Stage Manager of the entrant Club or their assistant.

3.11. SOUND EFFECTS: Entrant Clubs will be responsible for their own sound effects. CD and audio cassette players will be available.

3.12. BACKSTAGE RESTRICTIONS: No visitors, no alcohol and no smoking will be allowed backstage or in the dressing rooms at any time throughout the Festival.

3.13. TECHNICAL REHEARSAL: The Festival organisers will provide a technical rehearsal period of 15 minutes per entry during the week prior to the Festival, at which time entrants may:
Discuss lighting needs with the festival technician,
Check sound levels with actors and/or sound effects,
Check stage dimensions, entrances & exits,
Check wing space and set storage areas.

4. AWARDS:

Subject to the number of entries the awards for the Youth festival will be:

THE ANN HILL TROPHY for the BEST PRODUCTION (13 to 18 years) Senior Section Award

THE JACK & MAVIS HART TROPHY for the BEST PRODUCTION (up to 13 years) Junior Section Award

MELVILLE THEATRE COMPANY ENCOURAGEMENT AWARD. (May be awarded to either section)

CERTIFICATES FOR:
BEST ACTOR;

BEST ACTRESS;

MOST INNOVATIVE PRODUCTION;

Plus special certificates at the discretion of the adjudicator.
